No-show follow-up

When someone misses a discovery call, a kind follow-up goes out within seconds, with a link to book a new time.

The problem it solves

Someone books a discovery call, the invite goes out, and when the time comes they are not there. Before this workflow, that had two outcomes: either I remembered to send a follow-up the same day, or I did not and the lead quietly disappeared. Relying on memory is not a system.

A small build with a steady return

The value is not technical sophistication. It is that the situation gets handled the same way every time, however busy the day was and whether or not I noticed.

For anyone who runs discovery calls as part of a sales process, every missed call that would have gone silent now gets a follow-up. This is a Spark-size build: one trigger and one email.

How it runs

  1. 1

    Trigger

    Cal.com marks a no-show

When the appointment window has passed and the person was not there, Cal.com sends a webhook to n8n.

  2. 2

    Build

    The email is written

n8n fills in their name, the time of the call they missed and their language, English or Dutch.

  3. 3

    Send

    The follow-up goes out

A friendly message with a link to pick a new time, within seconds of the appointment window closing.

What it connects

  • Cal.com

Marks the booking as a no-show and fires the webhook.

  • n8n

Receives the webhook and builds the follow-up.

  • Email

Sends the message in English or Dutch.
